Seasus has delivered a Human Resource Information Management Software System (HRIMS) for the Employment and Training Corporation (ETC, today JobsPlus), replacing paper-based engagement and termination forms with a structured, auditable digital workflow for HR staff across the Corporation.
At the core of the system is form handling: engagement and termination records move through a defined workflow of statuses, from pending through to processed, with each change tracked and reversible where a case needs to be put on hold or sent back for correction. Promotions and demotions are handled on existing engagement records, preserving the history of an employee's designations and appointment dates rather than overwriting them.
HRIU staff can view and filter forms created by any colleague, while other users are limited to their own submissions, keeping day-to-day visibility aligned with each user's role. Sendback records stay linked to the engagement or termination form they relate to, so when missing data comes back in, the system finds the right outstanding case automatically instead of relying on staff to remember it.
Input validation runs on every entity (employees, employers and employment records) before it reaches the database, and the system auto-suggests existing values from ETC's own data wherever possible, reducing duplicate or misspelled entries. Supporting documents are scanned and stored in a document management system, and every action in the system is logged: timestamp, action, module, user, role and IP address, giving ETC a full audit trail.
Seasus built the application with security as a first-class requirement throughout, including protection against cross-site scripting and SQL injection and secure handling of any cryptographic key material, alongside the training materials and documentation needed for ETC's staff to operate the system independently.
